Organizational Overview 

St. Stephen’s Youth Programs is a provider of year-round out-of-school time academic and enrichment programming, youth and parent leadership development and community organizing training. Our mission is to promote equity in education, employment and opportunity through long-term relationships with young people, their families and their communities. Founded in 2000, St. Stephen’s Youth Programs has grown to serve more than 400 children and teens annually in four Boston neighborhoods with a budget of $2 million. Our year-round sites are located at 419 Shawmut Avenue in the South End of Boston and at 31 Lenox Street in Lower Roxbury. We typically add an additional site or two for our summer program

Position Overview 

SSYP seeks to add a dedicated Facilities Coordinator. This is a part-time position of 20 to 25 hours per week. Under general supervision, the Facilities Coordinator will plan, assign, and participate in the maintenance and repair of buildings and related equipment. They will also perform related work as required.

Duties and Responsibilities

  • Ensure the facility meets all local and organizational required standards.

  • Ensure that all work orders are professionally completed on time and are correctly recorded.

  • Respond to numerous building user requests, determine priorities, and schedule projects effectively.

  • Project manage larger construction projects, including contract negotiations and bids.

  • Maintain an on-going list of projects, and to plan a daily/weekly/monthly work cycle of those projects to insure completion in a timely fashion.

  • Prepare reports on the status of work, requests, complaints, and work performance as needed. Expedite the response time in handling and resolving routine service calls.

  • Coordinate maintenance, repair and/or construction projects of facilities with staff and contractors; monitors and inspects work performed on facilities by contractors.

  • Act as point of contact for all maintenance vendors.

  • Work with fellow employees in the repair, maintenance, renovation, and upkeep of SSYP year-round and summer sites.

  • Perform preventive maintenance and adhere to proper safety practices and procedures; enforces safety regulations. 

  • Responsible for effective implementation of building maintenance and repair activities and the quality of work performed. Keeps abreast of new equipment, methods, and procedures related to building maintenance, and to handle both routine and unusual problems related to building maintenance.

  • Hire, supervise, manage, motivate, coach, counsel, discipline, and train all maintenance staff.

  • Maintain appropriate inventory.

  • Act as the keeper of the keys and access and alarm codes for SSYP sites. Assign and make keys for the sites as needed.

  • Develop annual rooms and public space inspections and track accordingly.

  • Manage custodial duties.

  • Other special projects or duties as assigned.

Required Qualifications

  • Considerable knowledge of hazards and safety precautions of the trade.

  • Understanding of standard facility management practices.

  • Awareness of the types and uses of industrial-type ventilating, air conditioning, heating and refrigeration systems.

  • Knowledge of the methods and techniques used in the maintenance of heating, air conditioning, electrical and plumbing systems.

  • Valid Driver’s License

Preferred Qualifications

  • Capacity to work well under pressure and respond to emergency situations by reacting and assigning appropriate personnel.

  • Comprehensive knowledge of the methods, procedures, materials and techniques used in the maintenance and repair of buildings and related equipment.

  • Ability to perform maintenance and repair on a wide variety of building equipment.

  • Capability to transport heavy loads ranging from 50 to 100 pounds; ability to climb and work from ladder; climbing, standing, walking, stooping, and bending.

  • Experience utilizing computerized maintenance management systems.

  • Awareness of Massachusetts state agencies, facilities maintenance and management structure and organization.

  • Potential to present information both orally and in writing in a logical, concise and comprehensive manner.

  • Certified in OSHA 10 and 30

  • Facilities Manager Certification (IFMA) International Facility Management Association training

  • Means to follow written and oral instructions.

  • Comprehension of the laws, rules, regulations, policies and procedures.

  • Knowledge of the types and uses of agency and state forms.

  • Demonstrated knowledge of proper administrative and fiscal procedures.

Compensation and Schedule

Hours per week: 25 

Annual salary: $28,000 - 32,000
